What is Onboarding?
Onboarding is the process of transferring a client from one accountant to another. It is closely linked with obligations work, as we often require the client to be onboarded before we can proceed with obligations work.
During onboarding, we will need to obtain professional clearance from your previous accountants, agree on dates for the start of payroll/VAT returns in Ember, transfer opening balances, and decide on the best date to do this based on the individual situation.
👁️ Overview
The first step in switching to Ember is to fill in our onboarding questionnaire here so that we can evaluate your current setup and come back to you on moving over to Ember!
For reference what we need to get you properly set up would be
For the accounts last filed do you have the full set of accounts including profit and loss and balance sheet? If so, please provide these to us.
If you have previous accounting software, and the information is held here, then we would need you to delegate access to [email protected] and we can start to migrate over your information for you.
If you are VAT registered
We would need you to provide your last filed VAT returns
If you are registered for Payroll
Please see our onboarding document here for what additional information we will need
If you have a previous accountant
If you currently have an accountant and are looking to move over to Ember, please provide us with their email address and name - we will need to send them a professional clearance letter informing them of the move. This also helps with obtaining useful information that might be held with the accountant
If you have moved over to Ember and have previously filed accounts with Companies House, you will need to be manually onboarded so that we can bring in your opening balances. We will submit a Professional Clearance Request (further information on this can be found below) to your previous accountants to gather the information we need to onboard you and set your opening balances.
If you have moved over to Ember from an accounting software provider (e.g Xero, Quickbooks, etc.) we may be able to gather the majority of the data from there instead of waiting on professional clearance. We will request delegate access for [email protected] from the you the client and confirm we are reviewing before advising on next steps.
💼Professional Clearance
For onboarding from a traditional accountant, or for any information that we are unable to gather from your previous accounting software provider, we will need to submit a Professional Clearance request with your previous accountant.
Once you have confirmed you are happy for us to reach out to your previous provider, we will send a request to ask for information and documents relating to you and your tax matters.
✅Onboarding Complete
When we have all the information we need and opening balances are set, the onboarding process is complete. Do remember one of our accountants will be communicating with you and updating you at every step of the process until you are good to go🚀
